Privacy Policy

The Royal Faculty of Procurators in Glasgow (RFPG) is the data controller for the purposes of the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) in respect of the personal information which we hold about you. The new GDPR comes into force on 25 May 2018 and requires organisations to be explicit about their retention of personal information.

The RFPG is a not-for-profit incorporated body whose aims include the support of members’ legal practices and the provision of services to the legal profession. To that end the RFPG collects and holds the personal information of –
a. Members of the RFPG,
b. Those who attend or have previously attended RFPG or TANQ seminars or other events,
c. Those who are due to participate or have participated in RFPG or TANQ seminars or other events,
d. Those who have previously asked to be included in the various circulation lists operated by the RFPG,
e. Those who bear or have previously borne an office within the RFPG.

“Personal information” in this regard means - name, institutional affiliation and position therein, email address, postal address, library reader record, matters related to membership and attendance at RFPG and TANQ events.
Copies of correspondence between the membership and office bearers of the RFPG will also be retained, normally by the office bearer contacted. Copies of correspondence with an office bearer may also be shared with other office bearers.

The information is collected through the completion and submission of a membership subscription form, an event registration form or a mailing list request form.

The information will be used to –
a. Maintain the RFPG membership list,
b. Notify members and those on the mailing list of forthcoming RFPG and TANQ events and other announcements directly relevant to the activities of the RFPG,
c. Notify members and those on the mailing list of third party events or news announcements considered by the Council to be of interest (e.g. book publications, third party conferences, consultation papers, etc.),
d. Maintain accurate records relating to the financial and other activities of the RFPG (e.g. lists of members and their payment of membership subscriptions and event fees).

Communication will normally be by email unless a different channel of communication is requested. Communication by a channel other than email will be honoured when reasonably practical.

For the purposes of both RFPG and TANQ email alerts the basis for the processing of data is legitimate interests – i.e. both the legitimate interests of the RFPG and also the data subject.

Personal information will be kept securely within the RFPG and will not normally be shared with third parties. Exceptions to this are limited to instances where –
a. The independent examiner of the RFPG accounts makes a reasonable request for information directly relevant to the prudent exercise of his or her office
b. Third party service providers who may have access to personal information to be able to provide services to the RFPG (e.g. Mailchimp for sending out emails and collation of email lists). Where this occurs data protection compliant contracts are in place with these third parties.

You have the right to request a copy of the personal information held on you and have this rectified if it is inaccurate or incomplete or have your personal information deleted.
